End-of-Year Wrap-Up Checklist

As the school year comes to an end, don't forget about these important end-of-year tasks.
Outgoing President’s Checklist:
- Prepare files for transfer – discard items not relevant or timely.
- Copies of bylaws, procedures, president’s book.
- Flash drive containing important unit/council documents.
- List of phone contacts – school, region, state, etc.
- Copy of paid insurance bill.
- Update bank account signatures.
- Reminder of upcoming IRS 990 filing (after July 1 and before November 15).
- Copy of Robert’s Rules.
- Copy of President’s section of

- Plan a meeting for transfer of files for ALL new officers.
- Supply information to new officers for upcoming region officers training and encourage attendance.
- Thank everyone (think Advocate in Action award).
Membership, Insurance and Updating Checklist:
- All new members for May and June should be registered in MemberHub by June 30.
- Did you send your final membership dues payment to the state office by May 31? If not, send it in to arrive by June 29 or pay online

- You can enter your new members for 2018-19 starting July 1.
- Any unused credit voucher balances will be refunded in July.
- Officers must be elected by your membership at your annual meeting in compliance with your bylaws.
- After elections, you need to update your officers' contact information (even if nothing has changed) by using the ADD OFFICER button in MemberHub.
- Your payment and the three signed insurance forms were due to AIM by June 30. Please call AIM at 1-800-876-4044 for assistance or a replacement packet!
- After July 1, AIM will begin mailing certificates to presidents.

Seeking Your Input About Literacy Programs
|
|
|
NYS PTA has created the PARP Task Force, which is charged with increasing the visibility of the PARP (Pick A Reading Partner) program and other literacy programs throughout the state.
We are looking for your input (
via this survey) as we strive to continually improve our literacy programs. Children and youth need to learn not only the skills of reading but also to discover the joy of reading. Helping children discover that joy while encouraging adult-child communication is the goal of PARP.
If you don’t feel you are the best person to respond to this
PARP survey, please pass this on to your PARP Chair and other members you feel would take a few minutes to answer this survey. You can have more than one person from your unit reply. The
survey will take approximately seven minutes to complete. The survey will close on June 30, 2018.

Did You Pay Your Insurance?
|

Have you received your insurance renewal application from AIM?
If not, please call AIM directly at 1-800-876-4044 and request a new application.
Please send all your signed forms and your payment to AIM by June 30.
If you miss the deadline, your PTA will have a lapse in coverage and your coverage will not begin until resolved with AIM.
