Here are some helpful tips to speed up the processing of purchase orders:

Please include a written quote from the vendor or print out from the website that includes item number, description of item and cost.
In the requisition line "item description" please enter a description, not just the item number or company name.
Please review open purchase orders and encumbrances. If there are any open purchase orders that need to be closed, please email details to Sandra Robinson.

Please call or email uwgpurchasing@westga.edu for further help.

Campus Fuel Cards
With recent staff changes, it is a good time to remind everyone about the process for fuel cards on campus. Please note the following:
  • Fuel cards in UWG fleet vehicles including expired, lost or stolen cards - contact Chris Bradford in Facilities at cbradfor@westga.edu
  • Obtain a PIN or forgotten PIN - contact Jenny Ingram in Purchasing at  jingram@westga.edu
  • To terminate a driver's PIN access - contact Jenny Ingram
  • Questions on fuel card training - contact Jenny Ingram
  • General questions on fuel cards - email fuelcards@westga.edu
What to know about fuel card training:

Thanks to the Center for Business Excellence, we now have the training online through DevelopWest and it only takes six minutes.
  1.  Login to DevelopWest using your UWG credentials
  2.  Search for the UWG Fuel Card Training module
  3.  Once finished, please forward a screenshot of the completion certificate by email or hard copy to Jenny Ingram's attention in Purchasing/Aycock Hall.
  4. Fill out the attached fuel card user agreement. Your supervisor should sign it and provide your department ID.
  5. Once both forms are received, a six digit PIN will be issued.
Keep in mind, PINs are issued to a person and not to a vehicle/gas card. Students working in your department are eligible to get a PIN and should not be using anyone else's number.

Receipts must be obtained and turned in to the motor pool or your administrative assistant for processing the monthly bill. The campus Wex statement cuts off on the 30th of each month so prompt submission of receipts is critical.

Facilities and Purchasing Services appreciates your patience during our staffing transitions.
